How to Create an Op
Who is this article for?Primary and Place Admins that want to start building Ops into their Organisation
To create a new Op for your Org, you can navigate to the Operations page and click on the pink + button on the bottom right of the screen.
There are 3 different ways that you can create a new Op in your Organisation:
You can change an Op title by typing on its name at the top.
Additionally, you can decide whether to enable the Op immediately and if it going to be Scored and/or Graded.
1. Create an Empty Operation
The easiest way to create a new Operation completely from scratch. To create a new blank Op:
- Click on the + button whilst on the Operations menu.
- Select Create an Empty Operation.
- On the Next window, you are able to configure which Places, Teams/Positions and Op Types will be associated with this Op.
- Once you have finished with the settings, click Done and the new Op will appear in your Operations list for you to amend.
2. Create Operations Based on Templates
Templates are already-built Ops that once added to your Org, can be totally amendable to meet your company's requirements. At the time of launching the Smartforms Template Library, there were over 70 templates available for you to use - and it continues to grow!
Templates can be searched by keyword, by default, they are categorised by:
- Category
- Source: Defines where they originated (e.g. Safer Food, Better Business)
- Industry: Used to quickly find templates of interest
To access the Template library:
- Click on the + button whilst on the Operations menu.
- Select the option to Create Operations based on a Templates.
- Click Next.
- Search or browse for your desired templates. It is possible to choose multiple templates at once.
- Click on the Preview icon to open an Op Preview
- On the Next window, you are able to configure which Places, Teams/Positions and Op Types will be associated with this Op.
- Once you have finished with the settings, click Done and the new Op will appear in your Operations list for you to amend.
It is recommended to review the templates and make changes to Schedule and Notification settings to suit your business needs.
Note: You can remove templates not applicable to your Org by clicking the bin icon
3. Copy an Operation
To copy an Op:
- Click on the + button whilst on the Operations menu.
- Select Copy Operation.
- The next window will prompt you to select what Op/s you wish to copy. If the original Op already has Business Rules (Workflows) associated with it, you have the ability to copy these as well into the new Op.
- When you click next, you are able to configure which Places, Teams/Positions and Op Types will be associated with this Op.
- Once you have finished with the settings, click Done and the new Op/s will appear in your Operations list for you to amend.
