How to Add a User
Who is this article for?Primary Admins that want to start adding new users to their Organisation
To have access to the Smartforms platform, your staff needs to be listed in the Users area. This is only available for Primary Admins under Settings > Users > Staff. To set up your Staff members into your Org you will need:
- Full name
- Email address
This article outlines how to:
1. Add a User
Open the Staff menu and then:
- Click the + button in the bottom right corner of the screen
- Enter your Users' first and last name, as well as their email address, and click Create
From here, the User card will open up:
- Add the users phone number if required (this can be used as an additional way to log in to the Native app)
- Select the Places that your User can work at
- Select the Position(s) that your User holds to automatically add them to the Team that the Position(s) is a member of
For those users with basic Staff access, you can click the X in the top right corner and repeat the same process to continue adding more Users.
2. Upgrade a User to Admin
Once you have added and configured a User and the Places and Positions they have permission and access to, you also have the option to upgrade them to a Place or Primary Admin.
Reminder:
- Primary Admin: Complete access to the Org (all features, Places, etc + Settings and billing).
- Place Admin: Access to Analytics for Ops and Issues, access to manage Ops and Issues.
All-access is limited to the Places that they are assigned to.
You can upgrade them by clicking on their name and on your preferred choice at the bottom of the User card.
When the users are upgraded, they will be able to log in immediately after receiving a welcome email from Smartforms.
3. Invite a User
Admins will receive an invitation email to the Smartforms Web App. However, basic Staff members are not notified.
Nevertheless, Smartforms allows you to manually send email invitations following these steps directly from the Web App.
From the User List:
- Select the User(s) you wish to invite to the mobile app.
- Click on the envelope icon that appears in the Search bar at the top of the page.
Alternatively, regardless of the forms of communication, we suggest you add the following links to make it easier for your staff to download the Smartforms app:

Note: If your staff will only be using TeamBoard on shared devices rather than their personal mobiles, you don't need to send the Native App invites.
